Versa Vascular is an innovative medical device startup developing next-generation implantable solutions for the treatment of tricuspid heart valve disease. Our mission is to improve patient outcomes through precision engineering, rigorous quality standards, and collaborative innovation.
We are seeking a highly organized, proactive, and people-oriented Office Manager & People Operations Coordinator to support the day-to-day operations for Versa Vascular. This role serves as the hub of office operations, employee engagement, and HR coordination, helping to create an efficient, welcoming, and compliant workplace environment.
The ideal candidate is comfortable wearing multiple hats, thrives in a fast-paced startup environment, and enjoys supporting both operational and employee-focused initiatives. This position will also provide limited executive support to the CEO.
This role will start in Santa Cruz and move to Los Gatos early 2027. The work duties will temporarily include coordinating and preparing various aspects of the company move.
Office Management
- Manage daily office operations to ensure a productive and professional work environment.
- Maintain inventory and ordering of office, kitchen, and breakroom supplies.
- Serve as the primary point of contact for office-related vendors and service providers.
- Support workplace organization, safety, and general office functionality.
Human Resources Coordination
- Serve as the primary internal liaison with the company’s outsourced HR consulting team.
- Assist employees with benefits enrollment and benefits-related communications.
- Coordinate performance review cycles and employee communications.
- Help communicate company policies, procedures, and HR initiatives.
- Support onboarding activities for new hires and coordinate required documentation.
- Maintain confidentiality when handling employee and company information.
Recruiting & Interview Coordination
- Schedule and coordinate in-person candidate interviews.
- Manage interview logistics, including room scheduling and candidate communications.
- Ensure a positive candidate experience throughout the interview process.
- Coordinate interview schedules among hiring managers and candidates.
Employee Engagement & Event Planning
- Help foster a positive and engaging workplace culture!
- Plan and coordinate company lunches, team celebrations, happy hours, and BBQs.
- Organize annual company events, employee recognition activities, and other culture-building initiatives.
- Manage event logistics, vendors, catering, budgets, and communications.
Executive Support
- Provide limited executive assistance to the CEO.
- Coordinate business travel arrangements, including flights, hotels, transportation, and itineraries.
- Assist with occasional scheduling and administrative support as needed.
Qualifications
Required
- 3+ years of experience in office management, human resources coordination, executive support, or a related administrative role.
- Comfortable adapting to changing priorities in a growing startup environment.
- Collaborative team player who enjoys supporting employees and leadership.
- Excellent organizational and project management skills.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and deadlines in a dynamic environment.
- Proficiency with Microsoft Office, Google Workspace, and common business software platforms.
- High level of professionalism, discretion, and attention to detail.
- Highly trustworthy and capable of handling confidential information.
Preferred
- Experience in a startup, medical device, healthcare, life sciences, or regulated industry environment.
- Experience supporting HR functions or working with outsourced HR providers.
- Familiarity with benefits administration and employee lifecycle processes.
- Event planning and vendor management experience.
